Summary:

Goldbelt Apex LLC is looking for an Administrative Assistant level IV at Brooke Army Medical Center in San Antonio, TX.

Responsibilities

Essential Job Functions:

  • Responsible for communicating with vendors and customers professionally via email and phone. Additionally, they will need to take messages, route them to the appropriate office staff member, and assist in receiving and acknowledging office electronic mail and messages from other hospital facilities. 
  • Assist with faxing, filing, copying, scanning, collating, and binding of materials. They will also need to print mailing, filing, and identification labels and ensure that outgoing correspondence is delivered to the designated distribution center. The candidate should be able to generate and format reports, forms, and listings by sorting, selecting, and merging documents.
  • Responsible for maintaining designated forms in stock for office use, maintaining current on-call listings, alert rosters, personnel records, and directories on designated offices and agencies, maintaining administrative calendars, scheduling conferences and meetings, and sending out reminders to specified individuals to ensure follow-through with commitments.
  • Complete and submit automated Defense Medical Human Resources System - internet (DMHRSi) manpower hour submissions to reflect actual hours worked while employed by the facility.
  • Will prepare travel arrangements via the use of the Defense travel System (DTS) based on general travel intentions, known preference of traveler and in accordance with appropriate travel regulations.
  • Assist in scheduling transportation, hotel/government quarters reservations, and coordinate any other travel-related needs as specified.

Qualifications

Necessary Skills and Knowledge:

  • Should be knowledgeable about HIPAA, Joint Commission, MEDCOM, DHA, Security Risk Management Committee (SRMC), and other appropriate governing directives regarding the management and release of medical information.
  • Proficient in typing a variety of materials, memorandums, delegations, documents, and/or reports.
  • Defense Medical Human Resources System - internet (DMHRSi)
  • Defense travel System (DTS)
  • Scrub-Ex/AI-Ex system
  • Must exercise a positive, helpful demeanor, display courtesy and tact frequently under stressful conditions
  • Proficient with Microsoft Office Suite 

Minimum Qualifications:

  • High School diploma or GED
  • Minimum 3 years of progressively responsible experience over the previous 5 years, performing a wide range of administrative, secretarial, and organizational skills
  • US Citizen

Compensation $20.74 Hourly.
