Summary:

 

Goldbelt Apex is seeking a PROJECT COORDINATOR IV to join our team providing administrative, technical, and professional support services to DGHP Office of the Director (DGHP OD) staff and supported branches: the Global Public Health Systems Branch (GPHSB), the Global Surveillance, Laboratory, and Data Systems Branch (GSLDSB), the Global  Workforce Development Branch (GWDB), the Global Program and Extramural Management Branch (GEM), and the Global Public Health Emergency Preparedness Branch (GPHEPB).

 

The CDC Global Health Center (GHC)/Division of Global Health Protection (DGHP)/Office of the Director (OD) and supported Branches work to build and strengthen public health capacity by enhancing the ability of CDC, the Global Health Center and its public health partners to prepare for, prevent, and respond to infectious diseases, including outbreaks, bioterrorism, and other public health emergencies through cross-cutting and specialized programs, technical expertise, and public health leadership.

 

Responsibilities

Essential Job Functions:

  • Serve as the Executive Assistant to the Acting Division Director.
  • Manage the DGHP Director’s Deputy Director’s, Branch Chief’s calendar.  Monitor the calendar to receive and act upon meeting requests and other appointments. Identify meeting/scheduling conflicts and work with DGHP Leadership to resolve. 
  • Schedule/arrange meetings including securing meeting space and Audio-Visual requirements.  Use Outlook Scheduling Assistant to identify days/times for meeting participants and to send invites. Schedule conference rooms and conference calls for staff meetings. 
  • Receive, print, prepare various requests/documents (including include Leave Request Forms, 1350 CPPS order forms, Training Request Forms, etc.) for DGHP Leadership to review, sign, etc., and route accordingly.
  • Obtain required information for DGHP-sponsored visitors (U.S. citizens and non-citizens) and assure Physical Access to CDC Facilities policy is followed. Obtain and submit necessary pre-clearance information to CDC security and CDC DGHP Non-US Citizen Access Management System NCAMS POC for entry and processing.  Escort visitors to get CDC badges and to travel within Roybal Campus and others CDC campus to conduct their business. 
  • Manage, sort, and deliver hard copy mail from the DGHP mailstop to DGHP staff.  Package and mail inter-office, postal, and other delivery/courier service (e.g., FedEx, UPS) correspondence/documents for DGHP. 
  • Assist with preparing and submitting paperwork for new employee setup/exiting (e.g., badge, Telephone, Card Key, Door Sign, and Computer). 

Qualifications

Necessary Skills and Knowledge:

  • Knowledgeable of and able to complete a full range of travel preparation and submit to the DDMO Operations Team. 
  • Knowledge of the Federal Travel regulations as needed to prepare requests for travel. 
  • Ability to manage changing priorities to accommodate workload needs. 
  • Ability to manage multiple tasks and changing priorities. 
  • Ability to learn and become proficient in use of the CDC automated administrative systems. 
  • Ability to analyze administrative problems to identify significant factors, gather pertinent data, and recognize solutions. 
  • Communicate effectively orally and in writing. 
  • Ability to interact and aid government staff and customers around the world with the utmost courtesy and professionalism. 
  • Critical thinking skills and attention to detail and deadlines required.
  • Strong organization and professional maturity.
  • Possess strong work ethic, flexibility, optimism, creativity and personal motivation.
  • Ability to work independently and collaboratively with various team members.
  • Proficient in using Microsoft Office applications.

Minimum Qualifications:

  • Bachelor’s Degree in Business Administration or relevant field OR equivalent years of experience.
  • Minimum three (3) or more years of experience in performing listed tasks.

The salary range for this position is $89,000 to $90,000 per year.
